Zenpage automations: sending the right email at the right time (reminder, thank-you, follow-up)

Triggers, steps, conditions and ready-to-use templates: how to create an automatic email sequence for your practice, without sending anything by hand.

Typewriter with the words "Send a Mail"

A reminder the day before, a preparation message, a thank-you after the session, a follow-up for a client who hasn't been seen in a long time: these emails are part of follow-up, and they are easy to forget. Zenpage automations send them for you, at the moment they matter. Here is how to build them.

The trigger

Each sequence starts on an event. You can choose an appointment confirmed, requested or cancelled, a delay before or after the appointment, or a client inactive for a number of weeks you set. The editor's header states the chosen rule in plain words, for example "1 day(s) before each appointment", and updates at every change.

The steps

A sequence is a series of steps:

  • Send an email to the client, or to the practitioner, with an optional button to a page of your choice.
  • Wait a delay before the next step.
  • Wait before the appointment, so the message goes out at a precise time relative to the slot.
  • Condition: only send the step at the first session, from the second onwards, or depending on the service.

Each sequence can have its own reply address (Reply-To), so replies reach the right person.

Start with a single sequence

First enable the day-before reminder, the most useful. Check for a week that it goes out at the right time, then add the other sequences one by one.

The provided templates

Four sequences are prepared and disabled by default: the day-before reminder, session preparation, the thank-you after the session and the follow-up for a client who doesn't return after several weeks. Open them, adapt the text to your voice, then activate the ones that suit you. A disabled sequence stays saved.

Test and correct

Send each email to your own address before activating the sequence. Check the subject, the variables (first name, date, practice) and the link.

The day-before reminder and SMS

The day-before reminder is done by email here. Zenpage does not send scheduled SMS reminders: for SMS confirmations, which go out at booking, see our dedicated article.

Free trial and subscription

Automations are included in a 15-day trial from first activation. After that, they require an active subscription, the Pro plan at €19.90 excl. VAT per month, €199 excl. VAT per year or €1,490 excl. VAT for life, otherwise sending is paused and your sequences stay saved. The details of the plans are on the pricing page.

Going further

Automations reduce forgetfulness, but a well-placed reminder alone doesn't reduce no-shows. Read our article on missed appointments. The full setup is in the automations documentation.

Frequently asked questions

Can I test a sequence before activating it?

Yes. Each email can be sent as a test to your address, and the preview updates as you write.

Can a client unsubscribe?

Yes. "After session" and "follow-up" sequences respect unsubscribes: a client who has unsubscribed no longer receives these messages.

Do sequences stop if I delete an appointment?

Yes. A cancellation interrupts the sequence linked to that appointment. The remaining messages are not sent.
