Insurance certificate: generating a session invoice in Zenpage
Proof of payment for health insurance: generate a named session invoice in the Zenpage point of sale, to print at the practice or share via the client area.

More and more clients ask for proof of payment for their health insurer after a sophrology, naturopathy or hypnosis session. With Zenpage, this document is generated in a few clicks: the named invoice is created at the time of payment, then printed at the practice or found by the client in their online area. Sources and method: the steps described come from the Zenpage documentation (Point of sale and Client area sections, viewed on October 23, 2026); the offer cited at the end of the article comes from the zenpage.app home page (free plan at €0 with no credit card, paid options testable for 15 days).
Why your clients ask for a certificate
Many health insurers now reimburse part of alternative therapies, as annual allowances or per-session coverage. To trigger this reimbursement, the insurer requires proof: an invoice or a certificate issued by the practitioner. Without this paper, the client pays for the session out of pocket and gets nothing back.
This request often comes at the moment of payment, when the client takes out their checkbook or phone. If you have to write the document by hand, the queue grows and errors slip in: a misspelled name, a forgotten date, a crossed-out amount. A document generated by your management tool solves these problems at once, and it presents a polished image of your practice.
What should a session certificate contain?
Insurers don't ask for anything exotic, but they check that the document is complete and consistent. Here are the details to include, whether the document comes from Zenpage or another medium:
- your first name, last name and professional contact details, with the name of your practice;
- the client's first and last name, as they appear on their insurance contract;
- the nature of the service (for example sophrology session, naturopathy consultation);
- the date of the session and the amount paid, with the payment method if possible;
- a unique invoice number, which lets the document be found in case of an audit.
The weakest point is almost always the same: the client's identity. A document with an approximate surname or no first name is frequently rejected. Hence the importance of a clean client record, created before the session and not scribbled between two appointments.
How do you generate the invoice in Zenpage?
In Zenpage, the invoice is born in the point of sale, the page that records appointments made by phone or on site. The principle is simple: you enter the appointment as usual, and the document is created on its own at confirmation.
Concretely, choose the client from the list or create their record if they're new, carefully entering their first and last name. Then select the service, the practitioner, the date and the time, apply a coupon if the client has one, then confirm. The payment is recorded and a named invoice is generated, ready to print. The step-by-step is described in our guide to the Zenpage point of sale.
If the session was booked and paid online, there is nothing more to do: the payment is already traced and the invoice exists. Online payment settings are explained in our guide to payment at booking.
The Zenpage invoice is proof of payment intended for a health insurer, a works council or the client's records. It does not replace a national health insurance claim form and does not apply to state-regulated professions. If in doubt about what the client can obtain, invite them to check their insurance contract before the session.
Manual invoice or Zenpage invoice: what does the tool change?
In substance, both documents say the same thing. The difference lies in reliability and time spent:
| Step | By hand | With the Zenpage point of sale |
|---|---|---|
| Client identity | Copied each time, risk of error | Taken from the existing client record |
| Numbering | To manage yourself, risk of duplicates | Unique number assigned automatically |
| Consistent amounts | Mental math, discount sometimes forgotten | Amount calculated with the coupon applied |
| Archiving | Notebook or binder to keep | Document linked to the appointment in the calendar |
| Reissue if lost | To rewrite entirely | Reprinted from the recorded appointment |
The gain isn't only administrative. When a client loses their certificate months later and writes to you one evening to ask for it, finding the appointment in the calendar and reprinting the document takes little time. Without an archive, it is a hazardous reconstruction that exposes you to error.
How does the client get their document?
The simplest case remains handing it over in person: you print the invoice at the time of payment and the client leaves with it. Plan for a printer connected to the point-of-sale computer, and test printing before your first busy day.
For sessions paid online, the client finds their invoices in their client area, with the history of their appointments. They can thus send the proof to their insurer without bothering you, even on a Sunday evening. How this area works is detailed in our guide to the online client area.
In both cases, tell the client clearly what to do: most insurers accept a photo or scan of the document uploaded in their app. Slip this sentence in when handing over the invoice, it avoids many back-and-forths.
Going further
The invoice is only the visible part of a tidy organization: client record created before the session, services properly set up with their durations and rates, calendar up to date. If you're new to Zenpage, start with the free plan at €0, no credit card, which already includes your website and online bookings, with 15 days to test the paid options. Then reread our guides on the point of sale, online payment and the client area so that every session ends with a flawless document. To create your page, go to the sign-up page.
Frequently asked questions
Is the Zenpage invoice enough for a health insurer?
In most cases, yes: the invoice is named and states the service, the date and the amount. Each insurer has its own requirements, so invite the client to check what their contract asks for.
How does the client get their invoice?
You print it from the point of sale at the time of the appointment, or the client finds it in their client area when online payment is enabled.
Do I need to create the client record before the session?
Yes. A complete record lets you issue a named document without retyping when they leave. Create it before the appointment, not after.
Does a certificate replace a health claim form?
No. The Zenpage invoice is proof of payment intended for a health insurer or a works council. It does not replace a national health insurance claim form.
